> Cloud Files vs Collections

Understanding the Difference

To get the most out of OpenCraft AI, it is helpful to understand the distinction between storing data and using data. While both features help you manage information, they serve very different parts of your workflow.

1. Cloud Files: Your Permanent Storage

Think of Cloud Files as your digital filing cabinet or hard drive. This is where your data lives permanently.

  • Centralized Hub: It serves as the master repository for all your uploaded documents and Workspace files.
  • Project Organization: You can create folders to keep project assets organized for the long term.
  • Auto-Save: Any document you create or edit in the Workspace is automatically saved here.

Use Cloud Files when: You need to store a contract, save a finished report, or organize files for a project that spans weeks or months.

2. Collections: Your Active Context

If Cloud Files are the library, Collections are the specific stack of books you place on your desk to study. They are designed for context switching.

  • Group Resources: Collections allow you to bundle different types of data, Files, Text Snippets, Links, and Apps, into a single "kit."
  • Instant Context: Instead of searching for and re-uploading five different files every time you start a new chat, you simply select the Collection.
  • Efficiency: This tells the AI, "Focus on these specific documents right now."

Use Collections when: You have a recurring task (e.g., "Monthly Reporting") that always requires the same set of guidelines, data sources, and reference links.
